guidelines for authors

Oral Presentation

  • Time allocation for individual presentations is indicated in the programme.

  • Talk ID starting with “T” is allocated 12 minutes, of which 2 minutes are intended for Q&A. Speakers are therefore requested to limit their presentations to 10 minutes.

  • The PPT template for the oral presentation is available here.
  • Speakers are requested to upload the presentation file no later than 2 days prior to their talk to a dedicated SharePoint folder specifically set up for the corresponding talk. Updates may be made in the same folder until 1 day before the talk. The link to the folder will be provided in an email from ecsat.mvcc.ecb@esa.int with the subject line “EarthCARE Workshop 2026 – Presentations”. 
  • Access to the SharePoint folder is restricted to the speaker and the organizing team. 
  • The accepted presentation file formats are pptx and pdf. 
  • On-site Presentations: The uploaded slides will be displayed on the screen by the AV technicians at the venue. Speakers will use the lectern monitor to navigate the slides. 
  • Online Presentations: Online presenters are invited to share their screen via Webex to display the presentation slides. The uploaded file serves as a back-up in case screen-sharing fails.

Poster Presentation

  • The schedule of on-site poster presentation and on-line poster sessions is provided on the page poster list.
  • PPT template for the poster presentation is available here
  • To facilitate poster viewing by online participants, authors are requested to upload the PDF file of their posters here by 4 June. The posters will be made available on the workshop website starting the first day of the workshop. 
  • When uploading the PDF file of the poster, please refer to the final poster ID shown on poster list.
On-site Presentations

    • Poster presenters shall bring their own printed posters. It will not be possible to print a poster on site.
    • Posters should be mounted before the start of the poster session on Day 1. All posters will stay up all week.
    • Poster IDs shown on the poster list will be noted on the poster panels
    • The maximum poster size is A0 with portrait orientation. The poster boards will be 2m high and 1m wide.
    • Authors are encouraged to produce a proper full-size poster rather than using multiple smaller (e.g. A4) sheets.

Online Presentations

    • Presenters are requested to connect on time to the online poster session in which they are scheduled to present. The presentation schedule is given here.
    • Each presenter will be given 5 minutes to present their poster to the online audience, during which they will be able to share screen and show their digital poster.
    • Following the 5-minute presentations, each presenter will be provided with a break-out room for dedicated discussions with online audience.
    • A host from the organizing committee will be present to moderate each poster Webex session.
